TASK DESCRIPTION

In accordance with the objectives and principles determined by the top management of Süleyman Demirel University; The Department Secretary is responsible for making official correspondence regarding the Department.

DUTIES AND RESPONSIBILITIES

1. To make and follow up the general correspondence related to the department secretariat, to arrange the necessary work flows on a daily, monthly and annual basis in order to carry out the works carried out in the department secretariat on time and correctly,

2. Assisting the department heads in the preparation of the lesson plan and making their correspondence,

3. To assist the department heads in the preparation of the curriculum, to prepare the necessary data about the curriculum, to make the necessary correspondence,

4. To write informative letters to the instructors about the course programs,

5. Assisting the department heads in the preparation of the exam schedules, preparing the necessary data about the exam schedule, making the necessary correspondence,

6. Announcing the course schedules and exam schedules to the instructors and students,

7. To deliver the necessary data to the department chair during the preparation of the programs,

8. Announcing the courses that the instructors could not do due to their excuses to the students; To inform the directorate of the necessary.

9. In accordance with the academic calendar; in a way that will be the basis for the course registration of the students in the internet environment; At the beginning of the semester, to give the course information for each program and the instructor information for each course to the student affairs unit,

10. To appoint student advisors before the start of each academic year,

11. Results of midterm, final, supplementary, amnesty and exemption exams; archiving grade approval forms,

12. To present the courses to the instructors for the new students to review the courses they have already passed, to make the adjustment decisions and to submit the correspondence to the board of directors,

13. To receive students' registration freeze requests and to submit correspondence to the board of directors,

14. To make the correspondence of the students about the internship and to guide the students in this regard,

15. To make correspondence regarding the extension of the term of office of the academic staff of the department,

16. To receive the grade correction requests of the instructors and to make the necessary correspondence to submit them to the board of directors,

17. To make correspondence and announcements regarding food aid,

18. To make correspondence and announcements regarding scholarships,

19. To make the dismissal of students from the department,

20. To make correspondence regarding student transfer work and procedures,

21. To make announcements and announcements about academic staff and students,

22. To make the necessary correspondence regarding the graduation of the students,

23. To follow the decisions, to implementgiven by authorities,

24. To carry out works and transactions and correspondence related to student amnesty,

25. To receive the excused registration renewal petitions of the students and to make the necessary correspondence to submit them to the board of directors,

27. Collaborating with other units within the institution for departmental procedures when necessary,

28. Archiving the documents related to the 28th Department,

29. To fulfill the requirements of the decisions made by the boards related to the students, to announce them to the relevant parties,

30. To meet the document requests of the students,

31. To collect the data related to the department and to give it to the editorial department in order to prepare the annual reports,

32. To do business correspondence (Conference, seminar etc.),

33. To ensure that all persons entering the working environment leave the environment satisfied,

34. To kindly answer students' questions about education or direct them to the relevant unit,

35. To inform the college secretary about the works that cannot be done by the department secretariat and their reasons,

36. To use college property and resources efficiently and economically,

37. Avoiding extravagance, respecting privacy

38. Observing overtime and complying with the dress code

39. To comply with the ethical rules of the School, to support internal control activities,

40. To know that they have sensitive duties and to act accordingly,

41. To carry out other duties assigned by the department head and the college secretary

PRIVILIGES

1. To have the authority to perform the duties and responsibilities mentioned above.

2. To be able to use the necessary tools and equipment for the realization of the activities.

1. To have the general qualifications specified in the Civil Servants Law No. 657,

RESPONSIBILITY

The Department Secretary is responsible to the Director, Deputy Principals, Department Heads and the School Secretary, while performing all of the above-mentioned duties in accordance with the laws and regulations.
